Cancellation and Refund Policy
This Cancellation and Refund Policy is intended to provide a fair and transparent framework for both D’Vand Event Place and our clients. By confirming a booking, the client agrees to the terms set out below.
-
Booking Deposit: A deposit of 50% of the total agreed event fee is required to secure a reservation and block out the event date. This deposit is generally non-refundable because the venue reserves the date and may turn away other bookings once confirmation is made.
-
Cancellations by the Client: Where the client cancels 30 days or more before the event date, any amount paid above the non-refundable deposit will be refunded. Where the client cancels less than 30 days but more than 7 days before the event date, the deposit will be retained and no further refund will normally be due, unless management determines otherwise in exceptional circumstances. Where the client cancels 7 days or less before the event date, the client may remain liable for the full booking cost, especially where preparations, staffing, or vendor commitments have already been made.
-
Rescheduling Requests: Where a client is unable to proceed on the original date, D’Vand Event Place may, at its discretion and subject to availability, allow the event to be rescheduled. Any amounts already paid may be transferred to the new date, but this will depend on the notice given, the reason for the change, and any costs already incurred.
-
Cancellation or Termination by the Venue: If D’Vand Event Place cancels a booking for reasons within its control and not caused by the client’s breach, the client will be entitled to a refund of amounts paid for the affected booking. However, where the venue terminates or refuses to continue hosting an event because of a breach of the booking terms, safety concerns, unlawful activity, property damage, disruptive conduct, or exceeding the agreed capacity, no refund shall be due.
-
Unforeseen Circumstances: If the event cannot be held because D’Vand Event Place is unable to provide the venue due to events beyond reasonable control, including emergencies, severe damage to the venue, government restrictions, or similar unforeseen circumstances, the venue will work with the client in good faith to reschedule the booking or refund payments as appropriate. In such cases, the remedy offered will depend on the nature of the disruption and any recoverable costs already incurred.
-
Refund Processing: Any approved refund will be processed within 14 days after cancellation confirmation or final determination of the amount refundable. Refunds will ordinarily be made using the same payment method originally used by the client, unless otherwise agreed.
-
Administrative and Third-Party Costs: Any non-recoverable external costs already incurred on the client’s behalf, including special setup, outsourced services, or third-party vendor commitments arranged through the venue, may be deducted from any refund where applicable and where the client was informed of such arrangements.
-
General Conditions: Requests for cancellation or rescheduling should be made in writing. D’Vand Event Place will act reasonably and in good faith when applying this policy, with the aim of balancing fairness to clients with the venue’s need to manage bookings, staffing, and operational commitments.
By making a reservation, the client acknowledges that they have read, understood, and accepted this Cancellation and Refund Policy.
